1. Who I Am

AI Confidence provides AI training and support to UK-based businesses. For data protection purposes, the controller is Rebecca Dandy trading as AI Confidence (UK).

2. The Data I Collect

I collect and process the following types of personal information:

Your name, email address, phone number, business name, job title (if provided), and any information you share when you enquire about services.

Discovery and Reflection Form Data
Information you share about your business, goals, challenges, and feedback you provide after training (for example via Google Forms).

Notes I take during or after our sessions to tailor support.

Technical Data (Website Use)
Information about how you use the website, such as approximate location, device type, browser details, pages visited, and how you move around the site. This may be collected through cookies and Google Analytics.

Communications
Information you share when you contact me, and my responses (for example messages or emails about logistics, scheduling, and delivery).

I do not intentionally collect special category data (for example health information). Please avoid sharing sensitive information through forms or messages. If you choose to share anything sensitive, I will treat it confidentially.

I collect your data in the following ways:

  • When you arrange a session with me (for example by email, WhatsApp, SMS, or verbally)

  • When you complete a Google Forms Discovery or Reflection Form

  • When you contact me (for example using the website contact form, or by email/WhatsApp/SMS if we are already in touch)

  • Automatically through cookies or analytics when you use my website

 

4. How I Use Your Data

I use your personal data for the following purposes:

  • To respond to enquiries and communicate with you

  • To provide training and related services

  • To manage scheduling and administration

  • To improve my services and website

  • To keep appropriate records for business and tax purposes

  • To request and use feedback or testimonials (only with your permission)

 

Recordings, transcripts, and use of AI tools

I record Discovery calls on Zoom with your consent. Recordings may be stored in Zoom cloud storage and then moved to my Google Drive.

I may use transcripts and notes to understand your goals and tailor support. This can include using a Custom GPT within my ChatGPT Plus account to help me analyse and summarise transcript content.

Please avoid sharing identifiable information about other people (for example your clients or patients). Where possible, anonymise examples.

5. Lawful Bases

Under UK data protection law, I must have a lawful basis for using your personal data. The main lawful bases I rely on are:

  • Contract: where processing is needed to provide the services you request

  • Legitimate interests: for running and improving my business, communicating with business contacts, and improving the website, where those interests are not overridden by your rights

  • Legal obligation: for record-keeping (for example tax)

  • Consent: where I ask you to opt in (for example, recording a Discovery call, or using a testimonial)

 

6. How I Store and Protect Your Data

I store information using reputable service providers and apply access controls. I take reasonable steps to protect personal data against loss, misuse, unauthorised access, or disclosure.

7. How Long I Keep Your Data

I keep personal data only for as long as needed for the purposes described in this Privacy Policy. Typical retention periods are:

  • Enquiries (that don’t become clients): up to 12 months after last contact.

  • Client records (including session notes, training records, transcripts and related communications): up to 3 years after the last session or contact.

  • Zoom recordings: up to 90 days (or deleted sooner if no longer needed).

  • Invoices and tax records: kept for the period required for tax purposes.

 

8. Sharing Your Data

I may share personal data with trusted suppliers who help me run my business and deliver services. This can include:

  • Website platform and hosting (Wix)

  • Analytics (Google Analytics)

  • Forms and file storage (Google Forms and Google Drive)

  • Video calls and recordings (Zoom)

  • AI tool used for transcript analysis (ChatGPT Plus / Custom GPT)

I do not sell your personal data.

Some of my suppliers may process personal data outside the UK. Where personal data is transferred internationally, I make sure appropriate safeguards are in place as required under UK data protection law.

To exercise your rights, please contact me using the website contact form and include “Data protection request” in your message.

If you cannot use the contact form, please ask someone you trust to contact me on your behalf using the same form.

To help me respond, please include your name, the email address you used when contacting me (if relevant), and details of your request.
